(roles can be distributed within the company account, see below). Moreover there’s a general distinction between the person who is booking and a passenger at all times.

Lanes & Planes is a fully-fledged travel expense solution – including web and mobile app, with which travelers can add their receipts (taxi, parking, public transport, meal allowance, mileage allowance) to an existing trip. Thanks to the flexible "items"-logic, users can create receipts with multiple items with varying VAT-rates and/or varying categories/ledger accounts. Mileage allowances can be created with multiple stops.
Finalize & approve trip

After the user added all expenses and invoices to his trip via web or app, he/she can finalize the trip and submit it to the assigned manager or accountant. In this moment the travel expense report is frozen up until the manager either declines or approves and with this finalizes the trip and its handed over to accounting.

Manager approval

After the user submits the booking or expense report, the assigned manager gets a notification via email that a booking is due for approval. In a dedicated manager approval view, the manager sees the complete trip, potential breaches of the individual travel guidelines of the employee as well as the reasoning. Moreover he also sees all expenses and receipts. The manager can now either dispute, including a comment, then the booking/expense report is open again and the booker gets notified via email, or approve the trip/expense report.
Pre-Journey Allowance Request

This flexibility allows companies to decide which ledger accounts/expense categories are needed for their organization/invoice profile. The system points the user to duplicates, both during the expense creation/modification process and during the expense reconciliation check of the submitted expenses. Comment feature & booking status

Cost centers, Cost Units & references

Users can be assigned to one or more cost centers and cost units, which they can use to book or hand in expenses. By doing this we guarantee that the user can only book in his cost centers and cost units and while also giving the option to set up if mentioning a cost center or cost unit is always mandatory for this user. This also applies for references (free text) and purpose of trip. These statements are a central theme for all transactions, from booking to invoicing up to billing and is always accessible for the accountant in the accountant overview.
Invoice profiles (e.g. for subsidiaries)

With the help of invoice profiles you can set up subcompanies or differing invoice addresses for VAT-identification or different sales tax IDs. Analog to cost centers you can assign invoice profiles, so that users can only pick assigned invoice profiles. More over, per invoice profile you can set up different languages for invoicing, different accounting emails as well as diffente bank details for payment
Accounting Reconciliation

Even if the expense report has been approved by the manager, an accountant check is needed to ensure that the details have also been made correctly for tax purposes. For this reason, the accountant has his own dedicated reconciliation overview in order to be able to clearly compare all the receipt photos with the user's details and to check these factually and correct them if necessary. Accountants can approve or dispute receipts.
